A deposit equal to 50% of the total agreed booking price is required to secure the birthday party reservation.4.2. The deposit must be paid by bank transfer to the account specified by PitchBox Active Arena.4.3. The booking will be confirmed once the deposit has been received and PitchBox Active Arena has issued booking confirmation.4.4. The remaining 50% balance must be paid on the day of the birthday party.4.5. The total booking price includes the selected package and any agreed additional children or optional Gift Packs.4.6. Any additional charges arising from approved changes to the booking must be agreed with the customer.4.7. All prices are stated in GBP (£).5. CANCELLATIONS & REFUNDS5.1. All cancellation requests must be communicated directly to PitchBox Active Arena.5.2. If a booking is cancelled at least 14 calendar days before the scheduled party , the standard cancellation arrangement is a refund of 50% of the deposit paid.5.3. If a booking is cancelled less than 14 calendar days before the scheduled party, cancellation charges may apply.5.4. Any amount retained by PitchBox Active Arena must be reasonable and proportionate to the losses arising from the cancellation, taking into account costs saved and reasonable opportunities to rebook the date.5.5. The standard cancellation arrangement does not remove the customer's right to challenge an excessive charge or receive a greater refund where required by applicable consumer law.5.6. Refunds will normally be returned by bank transfer.5.7. If PitchBox Active Arena cancels a confirmed birthday party and no suitable alternative is agreed, the customer will receive a full refund of payments made, without affecting any additional statutory rights.
6. CHANGING YOUR PARTY DATE6.1. Customers are permitted one change of party date per booking , subject to availability and confirmation by PitchBox Active Arena.6.2. The original deposit will be transferred to the newly agreed date.6.3. Date changes must be requested directly from PitchBox Active Arena.6.4. Any further date changes are at the discretion of PitchBox Active Arena.6.5. A new party date is confirmed only after written confirmation has been issued by PitchBox Active Arena.6.6. If the customer requests a change to a different package or additional services, any price difference must be agreed before the amended booking is confirmed.
7. SAFETY & REQUIRED EQUIPMENT7.1. All children participating in football activities must wear suitable football boots and shin pads.7.2. Children without the required footwear or shin pads will not be permitted to participate in football activities.7.3. Participants must follow all reasonable safety instructions given by PitchBox staff and designated coaches.7.4. Dangerous behaviour, deliberate misuse of equipment and conduct that puts others at risk are strictly prohibited.7.5. PitchBox Active Arena reserves the right to stop any participant from taking part where there is a reasonable safety concern.7.6. Parents and carers are responsible for ensuring that participating children arrive appropriately dressed and equipped for football activities.8. PARENTAL RESPONSIBILITY & SUPERVISION8.1. The person making the booking is responsible for ensuring appropriate adult supervision of attending children outside activities expressly supervised by PitchBox staff or designated coaches.8.2. Children must not enter restricted areas or use equipment without permission.8.3. Parents and carers must ensure children follow the venue's safety rules and behave appropriately.8.4. PitchBox staff and designated coaches remain responsible for the activities and supervision expressly included in the confirmed party package.8.5. Children must remain within authorised areas of the venue.9. DAMAGE TO PROPERTY9.1. The person making the booking may be held responsible for reasonable repair or replacement costs arising from deliberate or negligent damage caused by them or children under their supervision, where they are legally responsible.9.2. This includes damage to football pitches, goals, equipment, furniture and other PitchBox property.9.3. Normal wear and tear resulting from appropriate use of the facilities is excluded.9.4. Any damage must be reported to PitchBox staff immediately.9.5. Any claim for damage will be assessed fairly, taking account of the circumstances, responsibility for the damage and reasonable repair or replacement costs.10. PARTY TIMES & VENUE USE10.1. Party duration is based on the confirmed booking time.10.2. Guests must follow the agreed arrival and departure arrangements.10.3. Late arrival does not automatically extend the booked party time.10.4. Extensions are subject to availability and may involve an additional charge agreed in advance.10.5. The venue, its equipment, staff and other visitors must be treated with respect.10.6. Decorations, food and additional arrangements must comply with instructions provided by PitchBox Active Arena.10.7. All guests must leave the booked party areas at the agreed finishing time unless an extension has been authorised.
11. PHOTOGRAPHY & VIDEO CONSENT11.1. PitchBox Active Arena may photograph or film birthday party activities for promotional purposes where the necessary permission or other valid legal basis has been established.11.2. Promotional content may be used on the PitchBox website, social media channels and other marketing materials.11.3. The booking form provides a separate YES / NO choice for photography and video consent.11.4. Consent is entirely optional. Refusing consent will not affect the booking or participation in the party.11.5. Consent provided by the person making the booking applies only to children for whom that person is authorised to give permission.11.6. Permission for other attending children must be obtained separately from an authorised parent or guardian where required.11.7. Consent may be withdrawn for future promotional use by contacting PitchBox Active Arena, subject to applicable data protection law.11.8. PitchBox Active Arena will take reasonable steps to respect requests not to photograph or film children for promotional purposes.12. LIABILITY & CUSTOMER RIGHTS12.1. Football and physical activities involve ordinary risks of accidental injury.12.2. All participants must follow reasonable safety instructions and use facilities and equipment appropriately.12.3. PitchBox Active Arena will take reasonable care in providing its facilities and services.12.4. Nothing in these Terms & Conditions excludes or limits liability for death or personal injury resulting from negligence, or any other liability that cannot legally be excluded.12.5. Nothing in these Terms & Conditions affects the customer's statutory consumer rights.13. ACCEPTANCE OF TERMS13.1. By submitting a booking request and accepting these Terms & Conditions, the customer confirms that they have read and understood the booking, payment, cancellation, safety and venue rules.13.2. If PitchBox Active Arena cancels a confirmed birthday party and no suitable alternative is agreed, the customer will receive a full refund of payments made, without affecting any additional statutory rights.
6. CHANGING YOUR PARTY DATE6.1. Customers are permitted one change of party date per booking , subject to availability and confirmation by PitchBox Active Arena.6.2. The original deposit will be transferred to the newly agreed date.6.3. Date changes must be requested directly from PitchBox Active Arena.6.4. Any further date changes are at the discretion of PitchBox Active Arena.6.5. A new party date is confirmed only after written confirmation has been issued by PitchBox Active Arena.6.6. If the customer requests a change to a different package or additional services, any price difference must be agreed before the amended booking is confirmed.
7. SAFETY & REQUIRED EQUIPMENT7.1. All children participating in football activities must wear suitable football boots and shin pads.7.2. Children without the required footwear or shin pads will not be permitted to participate in football activities.7.3. Participants must follow all reasonable safety instructions given by PitchBox staff and designated coaches.7.4. Dangerous behaviour, deliberate misuse of equipment and conduct that puts others at risk are strictly prohibited.7.5. PitchBox Active Arena reserves the right to stop any participant from taking part where there is a reasonable safety concern.7.6. Parents and carers are responsible for ensuring that participating children arrive appropriately dressed and equipped for football activities.8. PARENTAL RESPONSIBILITY & SUPERVISION8.1. The person making the booking is responsible for ensuring appropriate adult supervision of attending children outside activities expressly supervised by PitchBox staff or designated coaches.8.2. Children must not enter restricted areas or use equipment without permission.8.3. Parents and carers must ensure children follow the venue's safety rules and behave appropriately.8.4. PitchBox staff and designated coaches remain responsible for the activities and supervision expressly included in the confirmed party package.8.5. Children must remain within authorised areas of the venue.9. DAMAGE TO PROPERTY9.1. The person making the booking may be held responsible for reasonable repair or replacement costs arising from deliberate or negligent damage caused by them or children under their supervision, where they are legally responsible.9.2. This includes damage to football pitches, goals, equipment, furniture and other PitchBox property.9.3. Normal wear and tear resulting from appropriate use of the facilities is excluded.9.4. Any damage must be reported to PitchBox staff immediately.9.5. Any claim for damage will be assessed fairly, taking account of the circumstances, responsibility for the damage and reasonable repair or replacement costs.10. PARTY TIMES & VENUE USE10.1. Party duration is based on the confirmed booking time.10.2. Guests must follow the agreed arrival and departure arrangements.10.3. Late arrival does not automatically extend the booked party time.10.4. Extensions are subject to availability and may involve an additional charge agreed in advance.10.5. The venue, its equipment, staff and other visitors must be treated with respect.10.6. Decorations, food and additional arrangements must comply with instructions provided by PitchBox Active Arena.10.7. All guests must leave the booked party areas at the agreed finishing time unless an extension has been authorised.
11. PHOTOGRAPHY & VIDEO CONSENT11.1. PitchBox Active Arena may photograph or film birthday party activities for promotional purposes where the necessary permission or other valid legal basis has been established.11.2. Promotional content may be used on the PitchBox website, social media channels and other marketing materials.11.3. The booking form provides a separate YES / NO choice for photography and video consent.11.4. Consent is entirely optional. Refusing consent will not affect the booking or participation in the party.11.5. Consent provided by the person making the booking applies only to children for whom that person is authorised to give permission.11.6. Permission for other attending children must be obtained separately from an authorised parent or guardian where required.11.7. Consent may be withdrawn for future promotional use by contacting PitchBox Active Arena, subject to applicable data protection law.11.8. PitchBox Active Arena will take reasonable steps to respect requests not to photograph or film children for promotional purposes.12. LIABILITY & CUSTOMER RIGHTS12.1. Football and physical activities involve ordinary risks of accidental injury.12.2. All participants must follow reasonable safety instructions and use facilities and equipment appropriately.12.3. PitchBox Active Arena will take reasonable care in providing its facilities and services.12.4. Nothing in these Terms & Conditions excludes or limits liability for death or personal injury resulting from negligence, or any other liability that cannot legally be excluded.12.5. Nothing in these Terms & Conditions affects the customer's statutory consumer rights.13. ACCEPTANCE OF TERMS13.1. By submitting a booking request and accepting these Terms & Conditions, the customer confirms that they have read and understood the booking, payment, cancellation, safety and venue rules.13.2. Acceptance of these Terms & Conditions is required before a birthday party booking can be confirmed.13.3. Photography and video consent is collected separately and is not a condition of booking.13.4.
